Start-up Checklist

The Process

 Below you will find a checklist of items to complete and/or provide to us in preparation for your practice's Grand Opening.  Please review the list below.   


Once a task has been completed, your practice's personal status report will be uploaded for tracking and productivity purposes.  If you have any questions please contact us at 801-569-1973.

Check-List

Preparing the Practice (4 months prior to Opening)

  • Determine the business model and entity.
  • File IRS letter confirming your EIN.
  • Create a practice checking account; listing all partners and owners.

Organize Operations (3-4 months prior to Opening)

  • Obtain Malpractice Insurance for a group or individual.
  • Create Company Letterhead indicating malpractice insurance, company location, and a listing of all providers and/or mid-levels covered under the group plan.  If solo-practice, this is not necessary.
  • Obtain Group and Individual NPI from NPPES Registry.  Forward login information to your credentialing specialist.  This is required for Medicare enrollments.
  • Obtain a CAQH # and log in.  If you have never worked with any practice before, your credentialing specialist can set this up for you; otherwise, the credentialing specialist will need the login information.    
  • Start the credentialing and contracting process.  It is recommended to start this process no less than three months prior to the opening of the practice.  Contact Michelle Stevens for further explanation and to sign up for our credentialing services.  

Credentialing

Select Software and Order Supplies (30-60 days prior to Opening)

  • Obtain EHR software; if you have not elected to have Elite Medical do your billing.  We may give recommendations based on practice and provider needs.  We highly recommend either EClinicalWorks (for large practices or Kareo (solo or small groups) for the billing software.  These vendors have their own integrated EMR. Kareo does integrate with other EMR software.
  • Obtain medical equipment, tools, and office supplies.
  • Set up fee schedule; based on carrier fee schedule practice is participating with.  Contact Michelle Stevens for further information.

Define Staffing Needs and Workflow ( No less than 2 weeks prior to Opening)

  • Determine Operating hours and clinic needs.
  • Hire and training front and back-office staff.  If you are utilizing Elite Medical for billing needs, four hours of free training of the software and workflow are provided.  Contact Michelle Stevens regarding our H/R services.
  • Establish employee benefits.
  • Perform HIPAA training and security risk assessments.


Promote the Practice

  • Provider and Practice information will be listed in the carrier directory.
  • Network with colleagues and employers
  • Develop a website and integrate medical software so that patients may access the patient portal and intake forms.

Grand Opening (7 Days prior to Opening)

Now you are prepared for your Grand Opening.  This is the time to complete any unfinished tasks or any loose ends, and rest.
